  • With Spring Upon Us, How Will Your Workplace Stay Productive?

    The weather is slowly becoming warmer, making employees’ minds wander to the outdoors. After a long winter, employees are ready to get outside and have some fun. Unfortunately, sometimes the warmer weather can decrease productivity. Our team at Exact Staff has compiled some tips on how to keep your workplace productive as spring continues.

    • Encourage Employees to take Breaks.
      This may seem counterproductive, but employees who go without breaks tend to burn out pretty quickly.  Managers should encourage their employees to take small breaks. For example, a 15-minute walk around the block can work wonders for an employee. Plus, they get the chance to go outside like they have wanted to all day. Taking some time away from tasks can help improve productivity.
    • Escape the Office for Meetings.
      Who says meetings always have to be in the conference room? Taking your meeting out of the office offers a change of scenery that can trigger creativity. Plus, it’s a nice change of pace from the daily routine.
    • Prioritize.
      Energy levels are typically at their peak when employees first get in, so managers should encourage employees to tackle the most important tasks on their to-do list then. First thing in the morning is the time when employees will be more likely to focus. Many of us deal with the afternoon slump; the time of day where energy levels decrease and it becomes increasingly difficult to focus. This is a good time of day to work on mindless tasks that don’t require full attention.
    • Establish Company Challenges.
      Friendly competition is a great way to spark the energy and drive in your employees. Set the bar high, but within reach, and encourage your employees to exceed expectations. Offering a prize to the employee who achieves the greatest success over the length of the competition is an excellent way to entice your staff. A $20 coffee gift card can go a long way if it will motivate your team to accelerate production levels.

Hiring? Fine-Tune Your Job Descriptions to Ensure Qualified Candidates are Knocking on Your Door

When hiring new employees, many employers give little thought to what the job description really should be. Most of the time it’s a simple copy job from the last time the position was posted. Many employers don’t realize that job descriptions need to be so much more to ensure qualified candidates will be knocking on their door.

There are many reasons why your company should start fine-tuning job descriptions.  To start, some candidates will scan the job description and realize it is not what they are looking for at all. Titles can be misleading, so detailed descriptions are necessary to attract qualified candidates. Plus, when candidates apply after reading a job description, they should be more prepared for the interview. The job description gives an idea of what the company will expect, and they are prepared with details on how they will successfully fulfill the position.

A good job description has plenty of details and provides candidates with more than just a list of duties. Job descriptions should be used as benchmarks for evaluations and performance reviews. The more detailed the description, the better opportunity for measuring success. Job descriptions should be kept up-to-date rather than written in a pinch when it’s time to hire. Some questions to consider when writing a job description:

  1. What are the current duties of the position? What duties do we need and want the future employee to take on?

  2. What skills are needed to fill this position? How many years of experience does the best candidate have? Are there special certifications required?

  3. What are the key responsibilities required for this position? What are the daily tasks that need to be completed?

Job descriptions aren’t a one-size-fits-all type of process. Descriptions should be tailored to your organization’s immediate needs as well as its future needs. A good job description is clear, practical, and provides measurable goals.

Kronos Workforce Mobile is a time and attendance management solution that allows users to approve time cards and requests for time off while away from the office. Employees can also utilize the app to view work schedules, submit their time card, and more.

Vortex Mobile Connect is another time and attendance management tool allowing users access to employee schedules and location data from their mobile devices. Users are able to approve time cards and update schedules with this tool.

HR Concepts Mobile Benefits is a great tool for employees to help them check their health account balances and review previous transactions on FSAs and HSAs. One great feature is that users can take pictures of their receipts and upload them to a benefits portal.

Doodle is the self-proclaimed “world leading online scheduling tool”. Looking to get a large group of people together for a meeting? This excellent app makes scheduling virtually effortless. Simply put together a list of potential meeting times, add recipients, and all potential meeting parties are able to check whether or not they will be able to attend. Once you come to a general consensus of an appropriate meeting time for all invited, schedule out your call.

LocalEats is an excellent resource for professionals who are consistently on the move. Let’s be honest, when you’re busy with daily workplace responsibilities the last thing you want to stress about is what you’ll have for lunch. Although LocalEats won’t show you every available dining option in the area (it excludes national chain restaurants), it will display the top ranked local restaurants.

As Companies Plan to Hire, Skills Gap Continues to Grow

March Kindness

So everyone has heard of March Madness but all of us at Exact Staff would like to suggest a new twist on this month – MARCH KINDNESS!  We wanted to use March to remind our staff that every day we can strive to be kinder and improve the lives of others and we decided March was the perfect month to do these recognitions. “March Kindness” is simple – if an internal Exact Staff employee overhears or visually confirms an act of kindness performed by a colleague then he/she will email our CEO “catching” our colleague in the act of kindness that they witnessed and in return that employee earns a points towards prizes.  Pretty simple and to the point right? Now other than being a contest, at its roots the program will help everyone in the company realize just how much of an impact an Exact Staff employee makes on anyone that walks through our doors on any given day. It’s such an honor and brings each of us such a sense of joy at the end of a work day realizing what we as recruiters at Exact Staff accomplish for our city, our state and our America. We help qualified, intelligent, and caring people throughout the U.S. find careers that they enjoy. Who would have guessed? Enjoying work? Yes! It’s possible! Sometimes all these great stories go untold as there is so much that goes on daily in our lives. But with our March Kindness campaign we hope to re-introduce this concept of “kindness” and give rebirth to the idea that it’s possible to help someone every day and in any way.
